Guidelines & Selection Criteria

To be considered eligible all abstracts must:

  • Be unpublished original work and not previously presented in the proposed format. The abstract must not be identical to any that has been previously published.
  • Be submitted in English.
  • Be prepared according to the accompanying information if you would like to be considered for one of the ASMF Fellows conference awards.

When submitting your abstract please ensure:

  • It is submitted using the abstract or symposium template downloadable from this webpage below.
  • It is submitted in MS Word format (if using Office 2007 or 2010 please save the file as Office 2003 compatible ie .doc).
  • It is under the 400 word limit (excluding title).
  • Ensure it contains: Introduction should reflect a rationale / why you did this work. If applicable state the main purpose etc;
    The Methods should be a brief explanation of what was done and how it was done. This may include design, participants (include sample size N), data collection, processing etc, [if it is a research project] or a brief explanation of what you did if the activity was program implementation, policy development, etc., or protocol used if a systematic review.
    The main Results should be explicit in describing the main findings or outcomes and preferably include some data. Do not submit an abstract based on data yet to be collected or analysed.
    Discussion defines what the results mean (the implications) in terms of the background knowledge or practice (it answers the “so what?” question). “Results/ Findings will be discussed” is not discussion.  Compare and contrast with the current evidence or context. Do not conclude that “future research is needed” unless explicitly described.
  • If you are struggling with space, focus on the results and the implications.
  • Do NOT include references.
  • Abstracts will not be eligible if no results are presented.

An author may submit a maximum of four abstracts as first author, but no more than two will be selected for oral presentation. This includes abstracts submitted as part of a symposium. It is possible to appear as co-author on additional abstracts.

Note: We accept only online abstract submissions. Abstracts shall not be accepted for review by anyone other than the Conference Secretariat. Abstracts which do not meet these requirements will not be accepted.

Important information on submitting a paper

  • You must complete the submission process once for each abstract you are submitting for review
  • The receipt of your abstract submission will be confirmed by e-mail
  • All accepted 400 word abstracts will be published in a supplement to the Journal of Science and Medicine in Sport, December 2015 edition providing registration fees have been paid by 31 August 2015. All presenting authors must be registrants for the full conference and must present original work. Please note only the 400 word abstracts will be published the longer maximum of 1 x A4 page papers will be used for judging only.
  • To be considered for one of the fourteen prestigious Australian Sports Medicine Federation Fellows Awards valued at over $21,500 in total, in addition to the 400 word abstract you must also submit a longer maximum of 1 x A4 page paper. Without the submission of the additional 1 x A4 page paper you will not be considered for the awards. Your abstract and paper should link closely with the conference theme, and you must register for the full Conference. All presenting authors must also pay for their registration by 31 August 2015 and be a member of Sports Medicine Australia (SMA) to be eligible for awards. Membership of Sports Medicine Australia is not restricted to Australian nationals. Further conditions apply for papers short listed for awards.

Submitting Papers for a single symposium session

Symposia must be related to the conference theme. Each symposium will be 60 or 90 minutes long and should involve one chair (to be nominated) and a series of SHORT papers (8 minutes), which can be followed by a single discussant, a panel discussion, or an interactive discussion with the audience.

Proposals for symposia must include a SEPARATE abstract for each speaker, as well as one abstract which describes the overall aims/objectives/purpose, an outline of the format and content, and a list of each paper title. (Hence there will usually be 5-7 separate abstracts as well as the overview). All abstracts must comply with guidelines for abstracts for free papers. When submitting the individual abstracts, please ensure that each member of the group identifies their paper as part of the symposium, by including the symposium title in the appropriate box on the submission form and on their individual abstracts.

Preference will be given to symposia submitted by researchers from different universities, rather than to groups of researchers from the same institute or research group. Individuals cannot be first named author on more than two presentations at the conference – this includes presentations as part of symposia.

The chair and every speaker must register and submit an abstract for their presentation.

The deadline for abstract submission was midnight AEST Monday 20 April 2015. Any abstract received after this date will not be accepted.


Reviewing / allocation of abstracts to free paper, symposium or poster sessions

All abstracts will be reviewed by the Scientific Committee, which will make recommendations as to the type of presentation (oral or poster).

  • The Committees will allocate papers to oral and poster sessions according to:
    • Assessment of the 400 word abstract by reviewers (with blinding of authors). The additional maximum of 1 x A4 page paper submitted to be eligible for awards will NOT be taken into consideration when allocating abstracts to oral and poster sessions.
    • Innovation and importance for the field
    • Topicality and ‘fit’ with the program
    • Program constraints
  • The final decision rests with the Scientific Committees. The Committees reserve the right to specify the format via which the presentation is to be made. The number of oral presentations is limited.


  • Individuals will be allowed to present a maximum of TWO oral presentations and TWO posters (workshop and symposium papers count as an oral presentation) at the Conference. Individuals may be named as co-authors on additional papers / posters.
  • Oral presentations will be allocated to sessions with varied formats. These will include standard oral presentations (8 minutes with 2 minutes for questions), panels, symposia and other formats as judged by the committee.
  • The Session Chair will facilitate the timing of each presentation to ensure that these times are strictly adhered to and that there is opportunity for questions.
  • Posters will be presented in a standalone session.
    • Posters must be a maximum of AO in size (Portrait – 0.84 metres wide x 1.18 metres high).

Submitters will be notified on 31 May 2015 if their abstracts have been accepted for presentation and the type of presentation allocated. For more information regarding the judging process and the awards please click here.
